Traditional fax machines are inefficient and expensive. On top of the equipment cost, they cost you in paper, toner, phone bills, maintenance and labor/time-motion inefficiency – the greatest hidden operating cost. Think about it - most of the documents you fax are created on a computer. In order to send them through a fax machine, you must print out the document, manually create a cover page, go to the fax machine, feed in the document, punch in the fax number, wait while the machine scans and transmits it, and return to your workstation. And every time you receive a fax, you must leave your workstation to retrieve it from the community fax machine. Not only is this inefficient, but it is increasingly unacceptable from a security standpoint in environments having information privacy concerns brought about by regulation. Factor in the line charges for fax machines, sending charges for fax phone calls, and supply costs, and it’s clear why smart organizations are reducing or even eliminating the fax machines they use in favor of electronic solutions that both create and receive FAX documents right from the workstation.
